Changes to storage space for e-mail and OneDrive for Students

The available Microsoft online storage space must be reduced

Dear students,

We would like to inform you about important changes in the use of storage space for your e-mail accounts and OneDrive. Due to an adjustment of Microsoft's storage policy for university institutions, we are unfortunately forced to limit the previously almost unlimited storage capacities.

From Saturday, March 01, 2025, the available storage space will be limited as follows:

E-Mail-Accounts:               Maximum 5 GB

OneDrive:                       Maximum 15 GB

What does that mean for you?

Please check the current storage usage of your email accounts and your OneDrive in good time. If your email account or OneDrive exceeds the storage limit, it will be set to read-only. It will no longer be possible to receive emails or upload files from this point onwards until storage space has been restored.

If your data exceeds the new storage limits, we recommend that you delete unnecessary files or transfer them to alternative storage options. It is your sole responsibility to clean up your memory.

  • In OneDrive, you can view the current storage utilization by clicking on the gear icon in the top right-hand corner of the web version, then selecting “Settings” and opening the “Storage” section.
  • In Outlook Online, you can find the storage information by clicking on the gear icon at the bottom left, selecting “Show all Outlook settings” and calling up the utilization under “General > Storage”.

After the new regulation comes into force on the specified date, further use beyond the storage limit is not possible.

We regret the inconvenience caused by this measure and thank you for your understanding. We will of course adjust the limits again if Microsoft improves its storage policy in the future.

If you have any questions about implementation, the Campus IT Service Center will of course be happy to help!
